Our lawful bases
- Steps before a contract and performance of a contract: responding to service enquiries and providing coaching or other requested services.
- Legitimate interests: answering general questions, administering the business, improving our services and protecting the website, where those interests do not override your rights.
- Consent: email marketing, non-essential cookies and website analytics. You can withdraw consent at any time.
- Legal obligation: keeping records required for tax, accounting, regulatory or legal purposes.
Health information is special category data. Where we need to use it for coaching or safety, we will ask for your explicit consent and restrict access to it.
Email updates and free resources
If you subscribe to receive free workouts or email updates, we use the information you provide to send the requested material and related Impact Fitness emails. You can unsubscribe through the link in any marketing email or by contacting us. Unsubscribing does not affect service emails that are needed to answer an enquiry or manage an active client relationship.
Cookies and website analytics
The website uses necessary technologies for security, forms and basic operation. With your permission, it may also use Google Analytics 4 and Google Tag Manager to measure visits and website interactions.
Analytics does not start until the required consent has been given. You can accept, reject or change non-essential cookie choices through the cookie controls on the website. For more information about Google’s use of data, see Google’s privacy policy.
Who we share information with
We do not sell personal information. We may share limited information with service providers that help us run the website and business, including:
- Our website hosting and security providers.
- Google services used for analytics, tag management and spam prevention.
- Mailchimp, where you choose to join an email list.
- Email, administration and payment service providers used to manage enquiries or agreed services.
- Professional advisers, insurers, regulators, courts or public authorities where reasonably necessary or legally required.
These providers may only use information for the services they supply to us and must protect it appropriately.
International processing
Some service providers may process information outside the United Kingdom. Where this happens, we use providers that apply recognised safeguards, contractual protections or another lawful transfer mechanism.
How long we keep information
- General enquiries are normally kept for up to 24 months after the last meaningful contact.
- Coaching enquiries that do not proceed are normally kept for up to 12 months.
- Client, contractual, payment and accounting records may be kept for up to six years after the relationship ends where required for tax, insurance or legal purposes.
- Health or coaching records are kept only for as long as needed for service delivery, safety and reasonable legal or insurance requirements.
- Email subscription information is kept until you unsubscribe. We may retain a minimal suppression record so that we do not contact you again by mistake.
- Analytics data is kept according to the retention settings applied to our Google Analytics property.
We may keep information for longer where a legal dispute, safeguarding issue or regulatory requirement makes this necessary.
How we protect information
We use access controls, secure accounts, software updates, spam protection and reputable service providers to reduce the risk of loss, misuse or unauthorised access. No internet service can guarantee complete security.

Depending on the circumstances, you may have the right to:
- Ask for a copy of the personal information we hold about you.
